How to book for multiple shifts as part of one offer

Crew can be booked for multiple shifts across several days or within a day. There are two approaches: booking individual shifts (either manually or using Multiple Days) or booking the entire timespan from the first shift's start to the end of the last shift. While the first approach can take more time (if manually booking individual shifts) the second approach has the drawback that workers can't be offered shifts during the timespan. Depending on your scheduling practices and needs, you may choose any of the following methods.




Multi-day Call

For a call that spans several days, there are three methods to book crew.

Using Multiple Days

When creating a call, select the checkbox Multiple Days to create a call for multiple days. The offer will book shifts for every day from the start date to the end date with the same start and end time.

If the shift times vary from day to day set the start time as the earliest shift's start time and the end time as the latest end time. Include the different shift times in the description, ex. M 0800-1600 T 0900-1700 W 0800-1600, whereas the earliest call time is 0800 and the latest end time is 1700. In the calendar, crew will be booked for a shift from 0800 to 1700 on Monday, Tuesday, and Wednesday, allowing them to be offered and accept shifts in between.

  1. Create new call.
  2. Check Multiple Days checkbox.
  3. Set start time as earliest shift start time, end time as latest end time.
  4. Include different shift times in the description.
  5. Start call.

Using a single day

Create a call that starts on at the beginning of the first shift on the first day and the end time of the end of the last day's shift. Include the different shift times in the description, ex. M 0800-1600 T 0900-1700 W 0800-1600, with the call's start time at 0800 on Monday and end time at 1600 on Wednesday. In the calendar, crew will be booked from 0800 on Monday until 1600 on Wednesday. They will not be offered any shifts during this period as CrewDriver has them marked as booked for the entire timespan.

  1. Create new call.
  2. Set start time as the start of the first shift, end time as the end time of the last shift.
  3. Include different shift times in the description.
  4. Start call.

Offering with one call and booking individual shifts

Create a call for the first shift and include in the description that crew who accept the shift must be available for the following shifts, ex. create a call that will offer M 0800-1600, with the note crew must be available for T 0900-1700 and W 0800-1600. When this call is accepted, build the other calls and assign the workers who accepted the first shift. Using this method crew are available to be booked in between the shifts, though it requires more time to set up.

  1. Create new call.
  2. Fill in the call details for the first shift.
  3. Include in description that crew must be available for following shifts.
  4. Start call.
  5. Once the call is filled, build calls for the following shifts and save them.
  6. Assign workers confirmed for first shift to following calls.
  7. Start following calls.


Single-day Call

For a call that has multiple shifts contained within a day, there are two methods to book crew.

Using one call

Create a call with the start time as the first shift's start time and the end time as the last shift's end time. Include the different shift times in the description, ex. Load-in 0800-1200 Show 1400-2200 Strike 2200-0200. In the calendar, crew will be booked from 0800 to 0200 and will not be offered any shifts that conflict with that timespan.

  1. Create new call.
  2. Set start time as the start of the first shift, end time as the end time of the last shift.
  3. Include different shift times in the description.
  4. Start call.

Offering with one call and booking individual shifts

Create a call for the first shift and include in the description that crew who accept the shift must be available for the following shifts, ex. create a call that will offer Load-in 0800-1200, with the note crew must be available for Show 1400-2200 and Strike 2200-0200. When this call is accepted, build the other calls and assign the workers who accepted the first shift. Using this method crew are available to be booked in between the shifts, though it requires more time to set up.
